AD - Active Directory
Groups
In Administration module, in the left side menu, choose "System Admin -> User management -> Groups":
Groups are used to assign the same permissions to multiple Users.
Group's grid allows to manage all the Groups. A new Group can be Added or an existing Group can be Edited/Deleted.
License Limit Considerations
For quilliup versions 2.8.1 and above, if the number of Users exceeds the license limit, certain Group members will be disabled.
A warning message, identical to the one in the Users grid, will appear in the Groups grid:
“The number of users exceeds the license limit!”By clicking the file icon at the end of the message, an Excel file containing details of the affected Group members will be downloaded.
If the issue is not resolved within the one-month grace period (starting from the license creation date), the system will automatically disable the least active Users, and the warning message will disappear from the Groups grid.
To enable a User, a quilliup Administrator must first disable or delete other User(s) to ensure compliance with license limitations.

Options available in Groups grid
Bulk Update - allows to enable/disable chosen Groups (all the Group's Users):
Bulk Permission Cache - allows to Clear/Update Permission Cache for chosen Groups (for all the Groups' Users):
Clear - all permissions cache files for all the Group's Users will be deleted. A new cache file will be created for each User, when they access quilliup next.
Update - all the permissions cache files for all the Group's Users will be recreated/updated.
Deploy/Deploy All - allows to deploy Groups from one environment to another (for example, from DEV to PROD).
Deploy - deploys chosen in current page Group(s).
Deploy All - deploys all existing Groups.
"Permission Cache" column contains options "Clear" and "Update":
Clear - deletes all permissions cache files for all Users in the Group. A new cache file will be created for each User when they next access quilliup.
Update - recreates or updates all permissions cache files for all Users in the Group.
To enable the permissions cache, go to:System Administrator -> System Settings -> General Settings -> System Properties
and set “Utilize the User Permissions Cache Process” to true.

Roles - Displays all Roles assigned to the Group in each module.
No Roles - no Roles are yet assigned to the Group.
To view detailed information or edit any Group settings, click the Group's name in the grid or click the Pencil icon on the right:
In order to create a new Group, click "Add Group" button.
Note: available Group types are Applicative Group and AD Group.
1. Applicative Group:
Name - choose a name for the Group.
Assigned Users - assign existing User(s) to the Group.
Enabled - unmark to disable the Group.
Description - a brief summary of the new Group, highlighting any shared purpose or common characteristics.
Home Page - choose the home page that the User(s) assigned to this Group will see when login into quilliup.
Allowed Modules - choose the modules the Group's User(s) will have access to.
2. AD Group:
AD Group(s) are used when quilliup works in AD mode.
Working with AD requires prior configurations. For more details please refer related detailed manual: Active Directory connection settings.
In order to add an AD Group to quilliup, please follow the next steps:
- Enter the AD Group name (or part of the name) and click the Search button.
- Choose a Group from the returned list of values and it automatically will fill in the "Name" field.
- All the rest of the fields are the same as for the Applicative Group.
- All the Users from the AD group will be listed in quilliup and will automatically receive AD Group 's permissions.
3. OKTA Group:
OKTA Group(s) are used when quilliup works in OKTA mode.
Working with OKTA requires prior configurations. For more details please refer related detailed manual: How to Switch Between Applicative Mode to OKTA mode
In order to add an OKTA Group to quilliup, please follow the next steps:
- Enter the OKTA Group name (or part of the name) and click the Search button.
- Choose a Group from the returned list of values and it automatically will fill in the "Name" field.
- All the rest of the fields are the same as for the Applicative Group.
- All the Users from the OKTA group will be listed in quilliup and will automatically receive OKTA Group 's permissions.
